SCOPE OF WORK:
The Secretary serves as a key administrative support professional to the President and the MTE Board of Directors. This position is responsible for a wide range of executive-level administrative, clerical, and communication functions. In addition to serving as the primary point of contact for MTE’s main office, the Secretary plays a vital role in coordinating Board activities, maintaining official records, managing office communications, and ensuring the efficient operation of the front office.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Executive & Board Support:
- Provide direct administrative assistance to the President, including calendar management, travel arrangements, and preparation of presentations, briefings, and reports.
- Draft and distribute correspondence, memos, and emails on behalf of the President and Board.
- Prepare and disseminate notices, agendas, and board packets for Board of Directors and committee meetings.
- Attend and transcribe minutes for Board and committee meetings; maintain official records.
- Coordinate logistics for annual meetings and elections, including managing the election committee process.
Administrative Assistant Functions:
- Serve as a liaison between the President’s office and internal departments or external contacts.
- Screen and prioritize incoming communications and requests for the President.
- Assist with special projects, internal reports, data collection, and tracking of deadlines.
- Develop and maintain standardized templates, forms, and filing systems.
- Monitor and order office supplies; assist with vendor communications as needed.
- Support HR and accounting with data entry, document processing, and clerical overflow when requested.
Reception & Office Operations:
- Operate the main telephone switchboard in a professional and efficient manner; route calls and take messages accurately.
- Greet and assist visitors, monitor office access, and maintain visitor logs.
- Open, sort, weigh, and prepare outgoing mail; pick up and deliver mail daily.
- Maintain a clean and professional reception area and assist with general office upkeep.
- Operate two-way radios and other internal communication tools as needed.
Records & Information Management:
- Maintain accurate and accessible filing systems for corporate and administrative records.
- Act as a custodian of official MTE documents, in compliance with records management policies.
- Track, log, and report on incoming checks, payments, and sales orders as directed.
Other Duties:
- Maintain a professional and welcoming demeanor while interacting with all levels of staff, leadership, and the public.
- Support departments with clerical tasks and special assignments as needed.
- Attend evening or weekend meetings/events as required.
- Perform other duties as assigned by the President.
WORKING CONDITIONS:
- Required to wear necessary safety protection in applicable areas.
- Must comply with all safety policies and practices of MTE.
- Must be able to lift up to 50 lbs.
QUALIFICATIONS:
- Associate’s Degree in Administrative or related field required; Bachelor’s Degree preferred.
- Minimum of three years of administrative or secretarial experience at an executive level.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Publisher).
- Typing speed of at least 50 words per minute.
- Strong written and verbal communication skills.
- Highly organized with the ability to manage multiple priorities and deadlines.
- Professional demeanor with the ability to work independently and exercise sound judgment.
- Experience with general office equipment including telephone switchboard, copiers, scanners, fax machines, and postage systems.
- Must maintain strict confidentiality and protect proprietary and sensitive information.
